Notes

1. Hirers should indicate exact accommodation required, e.g. hall, toilets, kitchen, meeting room, etc.

2. Completed application forms, together with £25 deposit (payable to Holy Cross Church) should be returned to the Parish Secretary as soon as possible. This deposit is in addition to the booking fee and will be returned after the event, subject to the premises being left in a satisfactory condition. Until the deposit and completed booking form have been received by the Parish Secretary, a firm booking will not be made. 

Please note, the hours of hire must include time preparing for the event and clearing up afterwards.

3. The hirer must repay the Church all expenses which may be incurred by them in repairing, making good or replacing any part of the Church building, or contents thereof, lost, damaged or destroyed in consequence of the hirer’s use of the Church premises.

4. Cancellation of hire must be sent in writing to reach the Parish Secretary no later than seven working days before the date of the booking. If written cancellation is not received by the Parish Secretary, the hirer may be liable for the full cost of the hire.

5. Hirers are strongly advised to familiarise themselves, in case of fire, with escape routes, location of fire extinguishers (and their uses), fire alarms and exit doors and to make every effort to call the Fire Service if a fire should break out. Please do not obstruct any of the fire exits.

6. Should a licence be required for events such as a public performance of a play or a film or for the sale of alcohol, it is the user’s responsibility to consult with Bedford Borough Council and to obtain the necessary licence. When booking the church premises for such an event, details of the licence application (including that it has been submitted within the necessary timescale) must be submitted with the booking form.

7. The Church does not hold a TV licence so the use of a TV is not permitted.

8. The premises and grounds have had a generic Risk Assessment, but we advise all users to conduct their own Risk Assessment relating to the patrons who use the premises and grounds as each group of patrons will have their own related risks.

9. All monies due are payable on the day of hire and cheques should be made payable to Holy Cross Church.

10. In the event of the hiring being interrupted for any reason beyond the control of the Church, the Church shall not be responsible for any loss thereby caused to the hirer.

11. The church does not accept any responsibility for the loss of, or damage to, any article or belongings of those who have hired the premises or those attending the event.

12. No more than 60 people may be in the Hall at any one time.

13. Bouncy castles may only be used in the grounds of Holy Cross Church and NOT inside the Hall. Hirers are responsible for the hire and use of a bouncy castle in the grounds of the Church.

I/we apply to use and, in the event of the application being granted, agree to hire the parts of the premises mentioned above, subject to the conditions contained in the notes.

I/we undertake to pay the necessary fee as advised at the time of hiring.
